Frequently asked questions
We look for high-frequency, repeatable, and data-heavy tasks where people spend time copying, routing, reconciling, or synthesizing information. We then prioritize opportunities based on business impact, feasibility, risk, and implementation effort.
Not necessarily. We aim to design systems that trained business users can monitor and manage day to day, supported by clear SOPs, modular components, and defined escalation paths when technical intervention is required.
We design integrations around appropriate provider data controls, secure API access, and least-privilege permissions. Where sensitive information is involved, architecture and model-provider choices are reviewed with data handling and privacy requirements in mind.
Let’s identify the highest-value automation opportunities in your business
Share the workflow or operational challenge you want to improve. We will review the context and identify whether AI or automation has a practical path to measurable impact.

OperationsCustom operations platform (ERP)
A 72-person precision-components manufacturer replaced 12 spreadsheets and 4 disconnected tools with one operations platform, built around how its teams already work
| Result | Before | After |
|---|---|---|
| Tools and spreadsheets in daily use | 16 | 1 platform |
| Month-end reporting | 5 days | 6 hours |
| Order processing time | 22 min | 8 min |
| Stock accuracy | 91% | 98% |
Measured over the first 12 weeks after rollout. 42 people across 5 departments use it daily, and uptime since launch has been 99.9%.
The situation
Operations ran on 12 spreadsheets and 4 disconnected tools. Stock, orders and invoices lived in different places, so nobody had a single, current view of the business.
Month-end reporting took 5 working days of manual consolidation. Stock counts were off by about 8%, and orders were sometimes promised against stock that was not actually available.
What we decided
The first decision was whether to build at all:
- Build or buy: we compared Odoo, Zoho and an off-the-shelf manufacturing ERP against how the business actually runs. Custom won because the make-to-order workflow and tiered pricing model required heavy customisation, while the combined licence and integration cost was estimated at about €36,000 a year.
- Order of work: inventory and purchasing first, because most shortages and reconciliation errors started there; production and reporting in phase two.
- Data migration: which history to bring over (3 years of orders, current stock and open purchase orders) and how each dataset would be checked.
- Roles and approvals: who can see and change what, and which actions need sign-off.
- Rollout: department by department, with old and new running side by side for 3 weeks.
What we built
- Inventory with multi-location stock, purchasing with approvals, sales orders and invoicing, production planning and live dashboards.
- Integrations with Exact Online, WooCommerce, Mollie and Sendcloud.
- AI features: purchase-invoice extraction, reorder suggestions based on sales history, and plain-English questions over management reports.
- Role-based access, an audit log of every change, and automated backups.
- Tablet screens for the warehouse floor.
Where people stay in control
Purchase orders over €7,500 and stock adjustments need approval from the operations director. Every change is logged with who made it and when.
We trained 42 users across 5 departments and wrote a short guide for each role. Day-to-day administration was handed to the operations manager; we provide ongoing support.
FinanceInvoice matching
A 38-person specialty wholesale distributor cut invoice handling from 9 minutes to 3 minutes per invoice, with finance approving every exception
| Result | Before | After |
|---|---|---|
| Handling time per invoice | 9 min | 3 min |
| Invoices needing manual review | 100% | 28% |
| Receipt to approval | 2.4 days | 0.8 days |
| Month-end close | 6 days | 4 days |
| Late-payment fees | ÂŁ1,800 a quarter | ÂŁ350 a quarter |
Measured over the 8 weeks before and after launch.
The situation
Supplier invoices arrived as PDF attachments in a shared inbox. Each one was keyed into Xero by hand and checked against its purchase order by eye.
At 1,250 invoices a month, that took the team about 42 hours a week. Errors surfaced as duplicate payments and supplier disputes, and month-end close took 6 working days.
What we decided
Before building anything, we mapped the accounts payable process with the finance manager and agreed the rules:
- Invoices qualify for automatic matching only when the supplier is known, the purchase order matches, and totals agree within 1%.
- New suppliers, mismatches and anything over ÂŁ10,000 always go to a person.
- Every automated decision is logged with its source document and the rule that applied, to satisfy internal finance controls and year-end audit evidence requirements.
- Credit notes stay manual, because tax treatment and coding can require finance judgment.
What we built
- Extraction of supplier, invoice number, line items, tax and totals from PDF and email invoices.
- Matching against purchase orders and goods receipts in Cin7 Core.
- An exception queue in Microsoft Teams, showing the reason for each flag.
- Posting of approved invoices into Xero, with a full audit trail.
- A weekly accuracy report, and alerts when extraction confidence drops.
Where people stay in control
Finance approves every payment batch and every exception. For the first 3 weeks, the team reviewed every invoice; automatic matching widened only after accuracy held above 97%.
The accounts payable team now owns a runbook for exceptions and reviews a one-page accuracy report each week.
SalesLead qualification and routing
A 32-person B2B SaaS company answers qualified inbound leads in 14 minutes instead of 7.5 hours, and reps start every call already briefed
| Result | Before | After |
|---|---|---|
| Time to first response | 7.5 hours | 14 minutes |
| Leads with complete records | 46% | 94% |
| Rep research time per lead | 18 min | 5 min |
| Leads re-routed between reps | 23% | 6% |
| Lead to booked meeting | 18% | 27% |
Measured over the 8 weeks before and after launch.
The situation
Inbound leads landed in HubSpot with half the fields empty and waited an average of 7.5 hours for a first reply. Round-robin routing ignored territory and fit, so reps often passed leads between each other.
Reps spent about 18 minutes researching each lead before first contact. Several high-value leads went cold before anyone replied.
What we decided
We worked with the head of sales to agree what “qualified” means before automating anything:
- Fit criteria: 20 to 250 employees, B2B software or professional services, UK, Ireland or Benelux, and a manager-level or senior buyer.
- Routing rules: by region and company segment, with a named backup when a rep is away.
- A response target of 15 minutes for qualified leads during business hours.
- Which enrichment sources are acceptable, checked against the client’s privacy policy, data-processing agreements and GDPR requirements.
- The AI never contacts a prospect. It prepares; people decide and reply.
What we built
- Automatic enrichment of every new lead with company size, industry, region, funding stage and website.
- Scoring against the agreed fit criteria, with the reason for each score shown.
- A short research brief attached to each lead in HubSpot: what the company does, likely need, and suggested opening questions.
- Routing to the right rep, with an alert in Slack and escalation if nobody responds within 20 minutes.
- A dashboard of accepted and rejected leads by rep and by source.
Where people stay in control
Reps accept or reject each routed lead with one click, and every rejection records a reason. Those reasons feed a monthly review of the criteria.
Sales ops can change criteria and routing rules themselves, without an engineer. We trained 2 people on this.
Customer serviceSupport triage with drafted replies
A 55-person e-commerce brand cut first response time from 9.2 hours to 2.1 hours, while agents still review and send every reply
| Result | Before | After |
|---|---|---|
| First response time | 9.2 hours | 2.1 hours |
| Handling time per ticket | 11 min | 7 min |
| Open backlog | 620 tickets | 210 tickets |
| Drafts sent with light or no edits | None (no drafts) | 68% |
| Customer satisfaction (CSAT) | 84% | 91% |
Measured over the 8 weeks before and after launch.
The situation
Ticket volume had grown 38% in 12 months without the team growing. Tickets sat untagged until someone picked them up, and 44% of them were repeat questions about orders, returns and delivery.
Answers lived across the help centre, Notion and old tickets, so agents spent time searching before replying. First response time had slipped to 9.2 hours.
What we decided
We audited 3 months of tickets with the support lead and sorted every category into three groups:
- Draft a reply: order status, return eligibility and delivery estimates.
- Route only, no draft: product troubleshooting and account-access changes.
- Straight to a senior person: billing disputes, complaints, and anything with legal or safety risk.
The audit also showed 17 help articles were out of date. We fixed those first, because drafted replies are only as good as the articles behind them.
What we built
- Automatic categorisation and priority tagging of every incoming ticket.
- Routing to the right queue or person, based on category and customer tier.
- Reply drafts written only from approved help articles and Shopify order data, with the source linked in each draft.
- A weekly report of drafts agents edited heavily, to show which articles need work.
Where people stay in control
Agents review and send every reply; nothing goes to a customer automatically. The linked source makes checking a draft fast.
The support team owns the help articles and a simple process for updating them. The support lead reviews the heavily edited drafts each week.

Tell us how it runs today. We will tell you what is worth automating, what should stay with your team, and what it would take to build.
Start a conversationTechnology without adoption fails, so we build for both.
AI initiatives often underperform when too much attention goes to the model and too little to the people and processes responsible for using it. The Nexentive Framework brings production-ready engineering and workforce enablement together from the start.
Why systems alone are not enough
AI initiatives often underperform when tools are introduced without enough operational context, ownership, or support for the people expected to use them.
When both engines operate together, automation becomes more maintainable, more usable, and better aligned with day-to-day operations.
The four-phase Nexentive lifecycle
Operational diagnostic and feasibility audit
- Map end-to-end data flows, tool dependencies, and manual touchpoints.
- Identify high-frequency bottlenecks where automation has clear potential for measurable business impact.
- Screen for data privacy, technical constraints, and edge cases before engineering begins.

Guiding principles
Pragmatism over hype
We favor proven, dependable tools and the simplest architecture that can solve the business problem reliably.
Non-technical usability
If the people responsible for a process cannot confidently monitor and operate the workflow, the implementation is not complete.
Data governance by design
Provider selection, access controls, API permissions, and data handling requirements are considered as part of the architecture from the start.
Observable handoffs
Workflows include appropriate logging, alerts, exception handling, and human review points so teams can see what is happening and intervene when needed.
Build systems your business will actually use
Tell us where your current operations are under strain. We will review the context and determine whether the Nexentive Framework is a good fit for the problem.
Start a conversationWe bridge the gap between advanced AI and everyday business operations.
Nexentive was founded on a simple observation: growing businesses do not lack access to AI technology—they often lack the practical systems, integration work, and team enablement needed to use it reliably.
The Nexentive story
The rapid evolution of artificial intelligence has created a flood of point solutions, models, and competing claims. Yet inside growing businesses, teams still spend significant time on repetitive data entry, manual cross-platform updates, and fragmented handoffs.
Software implementation can fall short when it focuses only on the technology and overlooks the people responsible for running the day-to-day process.
Nexentive was built to close that gap. We combine practical systems engineering with workforce enablement, integrating AI into the tools and processes a business already depends on. Just as importantly, we design for handoff: clear documentation, defined controls, and the internal capability to operate the system after deployment.
Values and operating philosophy
Practical value first
We prioritize problems where automation has a clear operational case—reducing repetitive work, improving throughput, increasing consistency, or freeing teams for higher-value work.
Plain-English communication
We explain systems in clear business language. Documentation, runbooks, and training are designed for the people who will actually operate the workflows.
Human-in-the-loop safeguards
AI should amplify human capability. We add oversight and validation checkpoints where human judgment or accountability matters.
Responsible data handling
We design integrations around appropriate provider controls, least-privilege access, and data handling practices suited to the sensitivity of the workflow.
